The Account Executive supports the account management team, in all areas related to the day to day management of client business including administration, trafficking jobs, communicating with internal colleagues and supporting the maintenance of excellent external client relationships. The successful candidate will have the opportunity to learn the fundamental skills of excellent account handling in the healthcare communications arena with the potential to progress in a leading agency.

Key Responsibilities
Supporting team on projects and deliverables on time and on budget
• Fully understands Agency SOP and follows this without exception
• Proactively assists with projects and deliverables on time and on budget
• Focuses on delivery and understands the importance of managing client expectations
• Responsible for timely and accurate issuance of weekly/monthly status and budget reports to the client and Agency team
• Writing/taking action on contact reports. Takes responsibility for ensuring actions are followed up by the relevant party on time
• Initiates and organises routine meetings
• Supports development of schedules, and monitors timelines and budgets on projects, alerting manager of problems and highlighting next steps
• Research and assisting in proposal development
• General support for Account Managers, Directors and Account Directors with any requests
• Administrative support i.e. last minute printing, evaluation forms from meetings and other internal processes
• Schedule and participate in Account Management team meetings
• Coordination of project meetings

Financial support
• Provide draft budgets to the Account Management team based on brief provided using Synterface. Including acquisition of costs from previous budgets / suppliers / project management.
• Assist Account Management team to produce Scopes of Work
• Adaptation of Synterface format to client template as required e.g. Pfizer
• Dedicated Decideware contact for Pfizer, including training new joiners
• Managing Pfizer Decideware software, entering budgets, Scopes of Work, hours and costs
• Support account management team in raising POs
• Client invoicing via internal SIRs, adhering to client invoicing protocols using SAGE
• Updating relevant status sheets in accordance with invoicing status
• Liaison with finance over production of reconciliations
• Managing internal invoice movements within budgets

Builds relationships internally and supports delivery externally
• Understands the importance of and forges strong relationships among, key internal departments to facilitate the smooth progress of client projects
• Supports and organises the needs of the Account Management team and others as required
• Supports and organises the wider delivery team across departments
• Responds to ad hoc requests from other management team members

Build understanding of our work, our Network and our Clients
• Understands the client structure; how and why decisions are made, who makes them and what’s important to them
• Supporting relationships with clients/KOLs and earns their respect through delivery and focus on detail
• Builds relationships with external suppliers
