Publications Team Lead

Reporting to: Managing Director

Job overview
The Publications Team Lead will manage and grow a team who will be supporting international publications accounts. The role will involve providing leadership and mentoring support by drawing on extensive experience in publications planning and tactical execution. The Publications Team Lead will need to provide scientific, editorial and strategic expertise to both pharmaceutical Clients and colleagues within the agency and will play a key role in building and maintaining relationships with senior Client and OLs. Working in partnership with the Editorial Director and Account Managers the Publications team lead will be responsible for the delivery of existing and new business drawing on a high level of scientific and financial competence.

Key responsibilities

Functional
1. Lead the publications group to ensure effective delivery of publications plans
a. Ensure the team is resourced in terms of skills and capacity to be able to deliver what is needed
2. High level understanding of brand strategy to enable input into and delivery of publication planning activities for Clients
3. Financial oversight on all publications work and ensure accurate and timely checking of milestones and accompanying documentation across the publications group
4. Resource planning for Synergy publications through establishing and maintaining a network of freelance publications planners and medical writers
5. Input into Synergy Worldwide and Synergy Publications new business targets
6. Work with Synergy Leadership on financial forecasting, margin attainment and target setting
7. Effective Client communication to ensure high levels of Client confidence and satisfaction
a. Ensure that areas for improvement are identified and addressed so that quality standards remain high and training needs are met
8. Skilled in meeting development, presentation and facilitation with Clients and key OLs
9. In conjunction with the Synergy Leadership/Editorial Director, develop existing accounts and new business opportunities to provide additional publications planning and delivery

Managerial
1. Keep Synergy Leadership informed of possible future resource shortfalls and changes to the business and/or operational environment that will need to be addressed, thus ensuring the continued efficient delivery of services to Clients
2. Liaise with the Synergy Leadership to resolve resourcing problems and any conflicts with schedules that may arise. These should be identified as soon as possible and outsourcing strategy agreed before initiation
3. Play a pivotal role in forecasting publications work and monitoring performance vs actuals
4. Flag significant variations vs forecast to the Managing Director and endeavour to ensure forecasted numbers are achieved on those accounts, or any shortfalls made up elsewhere
5. Encourage a strong budget focus within the Synergy Publications team to ensure that projects come in on/under budget or that significant variances are flagged and agreed with Clients in good time
6. Ensure that Clients feel that Synergy offers good value for money, whilst ensuring accounts remain profitable
7. Ensure Clients experience a first-class service, Synergy getting it right first time
8. Build strong relationships with Clients through credibility demonstrated by strategic publications planning expertise
9. Line manage members of the team, participate in team meetings, drive the review and appraisal process and update team structure as necessary. Support the team in their professional development

Organisational
1. Take an active role in managing and developing Client relationships and deliver operational efficiency, financial control and business planning across the organisation
2. Manage contact with Editorial team/Account Managers to exchange information on future jobs, workflow and budget utilisation and to provide details of job allocation
3. Creative and strategic input in internal meetings, working to streamline internal processes
4. Take shared responsibility for maintaining the positive morale of all staff
5. Serve existing Clients and aid in the identification of potential new work or business opportunities
6. Take responsibility for the management of new customers; aid with the identification of their business needs and communications requirements
7. Drive development and maintenance of Synergy Publications procedures manuals, processes and guidelines as appropriate
8. Ensure that Synergy Publications operates adequate standard operating procedures, policies and guidelines to deliver services that adhere to all relevant regulations and requirements
9. Promote adherence to Company operating procedures, and Synergy Company values

Strategic:
1. Use strategic insight to provide practical input to Client planning and publications programmes
2. Lead discussions relating to publications planning, at both a tactical and strategic level, with Clients, OLs and internal colleagues
3. Identify opportunities for development and collaborate with other senior team members in writing programmes and proposals for existing Clients
4. Keep up-to-date with developments in the field, and ensures that all account team members maintain an up-to-date understanding

Skills and Experience – essential vs. desirable:

Essential:
• Must have a Biological/Life science degree as a minimum qualification – preferably a PhD in addition in a Biological science
• A minimum of 10 years’ experience within a medical communications company, with a minimum of 5 years’ experience gained within publications
• A minimum of 3 years’ experience in strategic publication planning and execution, preferably with experience working on both early Phase and launch (Phase 3) products
• Previous experience leading a team of at least two other employees within an agency
• A minimum of 3 years’ demonstrable experience in successfully delivering multiple accounts and projects simultaneously
• Demonstrable experience in establishing and maintaining productive and long-lasting Client relationships

Desirable:
• Ability to communicate clearly to your team, across departments and to senior management
• Calm under pressure with the ability to juggle several responsibilities, accounts and projects
• Solution orientated
• Effective delegation skills
• Ability to anticipate and avoid pitfalls and issues, based on experience
• Desire to ‘muck in’ and help colleagues in whatever way is needed when others are under pressure or there are gaps in the team
• Previous experience in Oncology would be desirable
